What counts

A chargeable appointment has a clear definition

Normally charged when

  • The prospect meets the agreed targeting criteria.
  • The participant has buying responsibility or direct influence.
  • They explicitly accept a confirmed telephone, video or in-person meeting.
  • The meeting takes place between the prospect and client.

Not a qualified meeting

A calendar click, general information request or unanswered invitation does not qualify. Existing customers and active opportunities supplied on the exclusion list before launch are not charged. A rescheduled meeting is charged only once, and an opportunity is not charged twice.

Company size, location, budget, purchasing timescale or other extra qualification rules must be agreed in writing before launch. An attended qualified appointment can be chargeable even if the prospect does not buy or request a quotation. The client non-attendance exception is explained below.

Attendance and billing

What happens when an appointment changes

We review attendance and qualification records before charging. Clients and prospects have different cancellation rules.

Prospect cancellation or no-show

If the prospect cancels, does not attend or asks for another date, there is no appointment fee until a qualified meeting takes place. We make reasonable attempts to rearrange it, and a rescheduled appointment is charged only once.

Client cancellation or no-show

Give at least 24 hours' notice to cancel or rearrange. For less notice, we try to rearrange without an additional charge. If the prospect was available and willing but the client did not attend, the normal £150 fee remains payable when the agreed qualification criteria were met. A late cancellation that prevents the meeting taking place is charged only under agreed late cancellation terms and with evidence that the prospect was confirmed and available.

Questioning appointment quality

Raise a dispute within five working days of the scheduled date, identifying the unmet qualification criterion or attendance issue. We review the booking, qualification records and relevant correspondence. An unqualified or incorrectly charged appointment is removed or credited. A decision not to buy is not, by itself, grounds for a dispute.

What the client provides

Provide and update an exclusion list for existing customers and active opportunities before launch. Keep appointment availability and calendars accurate, attend promptly, tell us about changes, give quality feedback and manage your own quotations, proposals and sales follow-up.

Reporting and transparency

We record booked and attended appointments, cancellations, no-shows and chargeable meetings. You receive a monthly breakdown of chargeable appointments alongside relevant campaign performance reporting. We do not guarantee a minimum number of appointments, quotations, conversions or sales.

Ownership and compliance

Your campaign records stay accessible

Infrastructure and access

We purchase and manage dedicated domains through our accounts for your business. On leaving, domains transfer to your account subject to registrar requirements; future renewals are your responsibility. We arrange mailbox handover subject to provider process and continued hosting payments. CRM and unified inbox access runs during the active service; the third-party platform is not transferred. Before access closes, we export available prospect records, opportunities and conversation history. Purchased data remains subject to supplier licence and data-protection rules.

Responsible targeting

Campaigns are assessed against UK GDPR and PECR for each target type. We check data sources, respect objections and suppression lists, identify the sender and provide an opt-out route. Rules differ for corporate recipients, sole traders and some partnerships. See our privacy information.

Buyer questions

What you may want to know

Is a reply or calendar click a qualified meeting?

No. The prospect must match agreed targeting criteria, have buying responsibility or meaningful influence, explicitly accept the meeting, and attend it with the client. The client non-attendance rule is explained below.

Do you guarantee meetings or sales?

No fixed number of meetings or sales is guaranteed. The examples on this page illustrate charges, not expected performance.

Does 10,000 records mean 10,000 emails a month?

No. Record availability and sending volume are separate. Sending increases gradually with account readiness, reputation and list quality, and includes follow-ups.

What is the initial agreement term?

The minimum agreement is three months from setup, followed by monthly continuation with 30 days' notice. The preparation period precedes campaign launch.
